Cancellations/
Missed Appointments
Consistency is crucial for the effectiveness of the therapeutic process. Regular attendance at
scheduled appointments is necessary for this consistency to occur. Scheduled time slots are
designated time and space for clients in need. If a cancellation occurs, it is preferred to provide
at least 24-hour advance notice so another person may use the time. Mosaic Pathway
Counseling recognizes that not all cancellation circumstances can provide 24-hour advance
notice. In these situations, waiving fees will be granted on a case-by-case basis.
A missed session is an absence that occurs due to scheduling negligence (i.e., forgetting,
mistaking the appointment day and/or time, or consciously making the decision to not attend,
but not giving proper notice or any notice at all).
Fees will be charged for appointments that are missed as described above or not cancelled
within the proper time window. If your session is funded via insurance, you will be responsible
for the full contract rate, including coinsurance or copayment. We are not permitted to bill
insurance for missed sessions. If you are not using insurance and are subsidizing the cost of the
therapy, your agreed upon rate for each session will be charged to you.
Payment
Payment is expected at the time services are rendered unless special arrangements have been
made. Mosaic Pathway Counseling will submit insurance claims for clinical therapy sessions. It
does remain the identified client’s or legal guardian’s responsibility to check the plan of
coverage to obtain information on limits. The identified client or legal guardian is responsible
for all charges not covered by insurance.
Session Length
Session length can range from 45-60 minutes. Most sessions are 53 minutes in duration. Initial
sessions are geared to be diagnostic in nature and focus on establishing a thorough
understanding of the presenting issue(s) as well as relevant historical information gathering.
This is foundational for the creation of therapeutic goals.
